Privacy Policy
Optimum Data Solutions (ODS) is an independent, AI-first Salesforce consultancy run by Scott Ohlund. This policy explains, in plain English, what data we collect when you visit optimumdata.solutions or contact us, why we collect it, who we share it with, and the control you have over it. Effective date: June 27, 2026.
We will be straight with you. A marketing website like ours runs on a handful of analytics and lead tools, and some of them try to figure out which company is visiting before you ever fill out a form. Most privacy policies bury that fact in legalese. We do not. Below is the full list of what we collect, every third-party tool that touches your data, and exactly how to opt out or have your information deleted.
The short version
If you only read one section, read this one:
- We collect what you submit through our forms (name, email, company, and project details) plus standard website analytics.
- We use it to respond to you, run and improve the site, and do business-to-business sales outreach.
- We rely on third-party tools: Salesforce, Google Analytics, Vercel, Calendly, CalendarBridge, reb2b, and Vector.
- We do not sell your data for cash, but some of our tracking may count as sharing under California law, and you can opt out.
- You can ask us to show you, correct, or delete your data at any time by emailing scott@optimumdata.solutions.
Everything below is the detailed version of these points.
Who we are and how to reach us
Optimum Data Solutions is a Salesforce consulting business operated from the United States (Salt Lake City, Utah area), founded in 2020.
For anything in this policy, including any request about your data, email scott@optimumdata.solutions or use the contact form at optimumdata.solutions/contact.
ODS is the party responsible for (the controller of) the personal information described here.
Information we collect
Information you give us directly. When you fill out our contact form or request a free Salesforce audit, we collect:
- First and last name
- Email address (we ask for a work email)
- Phone number (optional, on the contact form)
- Company name, and on the audit form, company size
- Project details: project type, timeline, budget range, your biggest Salesforce challenge, and a description of what you are trying to fix
- Your consent confirmation when you check the agreement box
Information we collect automatically. When you browse the site, our analytics tools collect standard technical data:
- IP address and approximate location
- Browser type, device, and operating system
- Pages you visit, referring links, and how you move through the site
- Performance data such as page load times and errors
Business identification data. We also use B2B tools (reb2b and Vector) that attempt to identify the company, and sometimes the individual, behind a website visit. They do this using your IP address and third-party business databases, and it can happen even if you never fill out a form. We use this information to reach out to businesses that look like a good fit for our services.
The third-party tools we use
We do not build everything ourselves. Here is every third-party service that touches your data and what it does:
- Salesforce (Salesforce, Inc.) is our CRM. Form submissions go straight into Salesforce so we can follow up and manage the relationship.
- Google Analytics (Google LLC) measures website traffic and usage. It uses cookies.
- Vercel (Vercel, Inc.) hosts the website and provides privacy-friendly, cookieless traffic and performance analytics (Vercel Analytics and Speed Insights). Server logs run here.
- reb2b provides B2B visitor identification, matching website visits to companies and contacts.
- Vector is a B2B visitor identification and lead-intelligence pixel that serves a similar purpose to reb2b.
- Calendly and CalendarBridge are scheduling tools for booking calls. If you book, you share your name, email, and meeting details with them directly.
Each of these providers has its own privacy policy governing how it handles data. We choose reputable vendors, but we do not control their internal practices.
How we use your information
We use the information we collect to:
- Respond to your inquiry, send the audit or materials you asked for, and schedule calls
- Provide our consulting services and manage our relationship with your business
- Operate, secure, and improve the website
- Conduct business-to-business marketing and sales outreach to relevant companies
- Meet our legal, tax, and record-keeping obligations
If you are in the EU or UK, our lawful bases for processing are: your consent (for forms and certain cookies), our legitimate interest in running a business and reaching potential B2B clients, and compliance with legal obligations. We do not make automated decisions that produce legal effects about you.
Cookies and tracking technologies
Here is how tracking works on our site:
- Google Analytics sets cookies to recognize repeat visits and measure traffic.
- Vercel Analytics and Speed Insights are designed to work without cookies.
- reb2b and Vector use pixels and your IP address to identify business visitors.
- Calendly and CalendarBridge may set cookies when you open their booking tools.
We do not currently run a cookie consent banner. You can control or block cookies through your browser settings, and you can install Google's official opt-out add-on to stop Google Analytics. The most reliable way to opt out of our analytics, B2B tracking, and outreach is to email scott@optimumdata.solutions, and we will suppress your information. We also honor recognized browser privacy signals, such as Global Privacy Control, where they apply.
How we share information
We share personal information only in these situations:
- With the service providers listed above, so they can perform their function for us
- With the scheduling provider you choose when you book a call
- When required by law, subpoena, or to protect our rights, property, or safety
- In the unlikely event of a business sale or merger, with the successor (we would note it here first)
We do not sell your personal information for money. However, under California's CCPA and CPRA, our use of analytics and B2B identification tools may qualify as sharing or a sale. You can opt out, which we explain in Your privacy rights below.
Data retention
We keep information only as long as we have a reason to:
- Form submissions and leads stay in Salesforce as long as we have an active or potential business relationship, plus a reasonable period for records, unless you ask us to delete them sooner.
- Analytics data is retained according to each provider's default settings.
- Business identification data is kept while it remains useful for outreach, then refreshed or removed.
When you ask us to delete your information and we have no legal reason to keep it, we will delete it.
Your privacy rights
Depending on where you live, you have some or all of these rights:
- Access: get a copy of the personal information we hold about you
- Correction: fix information that is wrong or incomplete
- Deletion: ask us to erase your information
- Opt out: stop analytics and B2B tracking and marketing outreach, and opt out of the sharing or sale of your information under California law
- Portability: receive your data in a portable format (GDPR)
- Restriction and objection: limit or object to certain processing (GDPR)
- Withdraw consent: at any time, without affecting processing we already did
We will not discriminate against you for exercising any of these rights. If you are in the EU or UK, you also have the right to lodge a complaint with your local data protection authority.
How to make a privacy request
- Email scott@optimumdata.solutions or use the form at optimumdata.solutions/contact, and tell us what you want (access, deletion, opt-out, and so on).
- We may need to verify your identity before acting, usually by confirming details we already hold.
- We aim to respond within 30 days (GDPR) or 45 days (CCPA). If we need more time, we will tell you why.
- Requests are free unless they are excessive or repetitive.
International data transfers
- ODS operates in the United States, and our providers, including Salesforce, Google, and Vercel, process data in the US.
- If you contact us from the EU, UK, or elsewhere outside the US, your information will be transferred to and processed in the United States.
- Where required, we rely on recognized safeguards such as the Standard Contractual Clauses offered by our providers.
How we protect your data
We take reasonable, industry-standard precautions:
- We serve the entire site over HTTPS, so data in transit is encrypted.
- Form data flows directly into Salesforce, a major enterprise CRM with its own security controls.
- We use reputable, established hosting and software vendors rather than building our own infrastructure.
- Access to your information is limited to the founder and any authorized people who need it to do the work.
To be clear about what we are not claiming: ODS is a small consultancy and does not hold formal certifications such as SOC 2. No website or system is ever 100 percent secure, and we cannot guarantee absolute security. What we can promise is that we use sensible safeguards and reputable partners.
Children's privacy
- Our website and services are built for businesses, not children. The site is not directed to anyone under 16, and we do not knowingly collect personal information from children.
- If you believe a child has given us personal information, email scott@optimumdata.solutions and we will delete it.
Changes to this policy
- We will update this page when our tools or practices change, and we will revise the effective date at the top.
- For significant changes, we will make the update obvious on the site.
- Continuing to use the site after an update means you accept the revised policy.
